Absentee Owner Letters: 3 Templates You Can Mail This Week

Three original absentee owner letters, each with a P.S. line, plus the merge fields to pull from your CSV and the rules that keep your mail honest.

Objective

Pick one of three letters, merge it with your list and get it in the mail before the week is out.

Absentee owners don’t live at the property. Your letter goes where they do live: the mail_address column. That one fact shapes everything you write. You’re writing to a landlord, an heir, someone who moved, or someone who forgot how much the place takes out of them.

Set up your merge fields

  • [Owner first name] from owner_name. Names on title come in odd formats. Clean them, or use “Hello” with no name.
  • [Property address] and [Property city] from property_address.
  • [Owner mailing city] from mail_address. Used in Template C only.
  • Titles held by an LLC? Filter them out, or greet “the owner of [Property address]” instead of a first name.

The three letters

All three are short on purpose. One idea, one way to reply, one way to opt out.

Template A · The straight offer

Use it when: you want one letter for the whole list.

Hi [Owner first name], My name is [Your name]. I buy houses in [Property city], and I'm writing about the property you own at [Property address]. If you've thought about selling it, I'd like to make you an offer. I buy as-is, so there's nothing to fix, clean out or show. You pick the closing date. If now isn't the right time, that's fine. Keep this letter for later, or tell me and I won't write again. [Phone] · [Email] [Your name] [Company name], [Return address] P.S. A quick "not interested" helps me too. I'll take you off my list the same day.
Template B · The landlord letter

Use it when: the property looks like a rental: single family or multifamily, owner mails from elsewhere.

Dear [Owner first name], I'm a local buyer looking for rental properties in [Property city], and [Property address] is on my short list. Owning a rental from a distance takes work: repairs, turnover, calls you didn't plan for. If you'd like to step away from that, I can talk about buying with the current lease in place or after it ends, whichever suits you. There's no fee and no obligation. If the numbers don't work for you, that's the end of it. Call or text [Phone], or write to [Email]. Thank you, [Your name] [Company name], [Return address] P.S. Not ready to sell? Keep my number. Plans change, and I'll still be buying in [Property city].
Template C · The out-of-town owner

Use it when: the mailing address is in a different city or state from the property.

Hello [Owner first name], Your property at [Property address] is a long way from [Owner mailing city]. If looking after it from there has become more trouble than it's worth, I may be able to help. I'm [Your name], and I buy houses around [Property city]. I'll handle the details of the sale and work the closing around your schedule and location. If you'd like a number, call me at [Phone]. If you'd rather I didn't write again, tell me and I won't. [Your name] [Company name], [Return address] P.S. I'm a buyer, not a listing agent, so I'm not asking you to list the property.

Field note

Only send Template C’s P.S. if it’s true. If you hold a license or plan to list, say that instead.

Rules for every letter

  • Your real name, company and return address. Every time.
  • Don’t design it to look like a bill, a check or a government notice.
  • Don’t claim to know their situation. You know what’s on the record, nothing more.
  • Don’t quote a price you haven’t worked out.
  • Give a way to opt out, and honor it the same day.
  • If you assign contracts instead of closing yourself, check your state’s rules on wholesaling.

Mail it this week

  1. Step01

    Monday: pick and merge

Choose one template per segment. Not sure? Use A for everything. Split the file by property_type or by mailing city if you’re using B or C.

  2. Step02

    Tuesday: proof by hand

Print five letters from different parts of the file. Read every merged field out loud. Fix broken names now, not after a thousand stamps.

  3. Step03

    Wednesday: mail

Drop the batch or upload it to your mail house. Note the date in your tracking sheet next to each apn.

  4. Step04

    Thursday on: track by template

Give each template its own reply path: a different phone extension, email alias or callback name. When someone replies, you know which letter they got. That’s how you pick the next round’s letter.

Compliance

If you follow up by phone or text, follow federal and state rules such as the TCPA and the Do Not Call registry.
